Pre-Onboarding Form: What We Need and Why

Overview.
Before we can launch your first campaign with Ava, we’ll need a few key details. The Pre-Onboarding Form lays the groundwork for a smooth setup, from mailboxes and domains to messaging and targeting.
Here’s what we ask for and why it matters:
Your Email Address
Why we ask: You’ll be our main point of contact during setup. This is where we’ll send updates and reach out with any questions.
Company Website Domain
Why we ask: We’ll use this to register secondary (alias) domains for your outreach, which Ava will send emails from. These look and feel like your real domain but protect your sender reputation.
High-Resolution Company Logo
Why we ask: Ava includes this in her outreach and in your email signature to help build brand trust and professionalism.
Sender Names
Why we ask: Tell us who Ava will be sending emails on behalf of. These are the humans Ava will impersonate, typically your sales or marketing team. Higher seniority = higher reply rates.
Social Media URLs for Each Sender
Why we ask: We’ll pull in their Social Media profile photos to personalise your Artisan account and outreach. It adds a real face to your digital rep.
Email Signatures
Why we ask: Ava signs off every email with a signature that looks just like a real team member. The more complete and consistent, the better.
Include:
• Full Name
• Job Title
• Company Name
• Company Website
• Phone Number (optional but recommended)
Previous Lead Generation Efforts
Why we ask: This gives your CSM quick context on what you’ve tried before — and what worked (or didn’t). Even if you’ve already told your AE, having it here helps us pick up right where they left off.

• Optimise Ava’s approach to fit your sales style
The more we know, the better we can tailor your setup from day one.
What Your Company Does (in your own words)
Why we ask: We want Ava to sound like you. Hearing how you describe your offering helps us get the tone and message just right.
What Makes You Different
Why we ask: Ava’s job is to cut through the noise. Knowing what sets you apart helps her craft messages that grab attention and build curiosity.
Resources or Offers for Prospects
Why we ask: Got a demo, playbook, or free audit? Ava can use this as a hook in her emails. It’s all about driving value from the first touch.
Case Studies
Why we ask: If you’ve got proof points, let’s use them. Ava can mention these in her messaging to build trust and social proof.
Ideal Customer Persona (ICP)
Why we ask: This is critical. We use it to shape who Ava reaches out to — including job titles, regions, industries, and company size. The clearer you are here, the more relevant your leads will be.
Special Notes for Mailbox Creation
Why we ask: We purchase and configure lookalike domains (e.g. tryyourcompany.com, withyourbrand.com) to keep outreach safe and seamless. If you have preferences (e.g. no “info@” style aliases), let us know.
